Booking Conditions

To confirm your journey, a non-refundable deposit of 25% of the total trip cost is required at the time of booking. This deposit secures your accommodation, guide, and all pre-booked experiences. For retreats and group bookings, a deposit of 30% may be required to secure exclusive venue hire. Your deposit amount will be clearly stated in your personalised proposal.

The remaining balance is due no later than 60 days prior to your departure date. For bookings made within 60 days of departure, full payment is required at the time of booking. Payment can be made via bank transfer (details provided upon booking confirmation). Kerry will confirm receipt of all payments in writing.

Should you need to cancel your booking, the following fees apply: • More than 90 days before departure: Loss of deposit only • 61–90 days before departure: 40% of total trip cost • 31–60 days before departure: 65% of total trip cost • 15–30 days before departure: 85% of total trip cost • Less than 15 days before departure: 100% of total trip cost All cancellation requests must be submitted in writing to Kerry@freespiritauthentictravel.com.

We understand that plans can change. We will do our best to accommodate date changes or itinerary amendments where possible. Amendment requests made more than 60 days before departure are generally accommodated at no additional charge, subject to supplier availability. Amendments made within 60 days of departure may incur supplier-imposed fees, which will be passed on to you at cost. Date changes are treated as new bookings if the original supplier cannot accommodate the change.

Refunds are processed within 14 business days of a confirmed cancellation. Refunds are calculated based on the cancellation fee schedule above. Refunds will be returned via the original payment method. Please note that bank transfer fees are non-refundable. If a refund is due to a cancellation by Free Spirit Authentic Travel (other than force majeure), a full refund will be issued within 14 business days.

Free Spirit Authentic Travel reserves the right to substitute accommodation or experiences of equal or greater standard where circumstances require (including but not limited to overbooking, natural events, or supplier closure). We will always notify you of any significant substitutions as soon as possible and will seek an alternative that maintains the quality and spirit of your original itinerary. No additional cost will be charged for substitutions initiated by us.

Force majeure refers to events beyond our reasonable control, including but not limited to natural disasters, pandemics, civil unrest, government travel advisories, terrorism, or extreme weather. In the event of a force majeure situation, Free Spirit Authentic Travel will make all reasonable efforts to offer travel credits, rescheduling, or partial refunds where suppliers permit. We cannot guarantee full cash refunds in force majeure situations, as we are bound by our suppliers' own terms. This is why we strongly recommend comprehensive travel insurance that covers force majeure and travel disruption.

Comprehensive travel insurance is mandatory for all guests and retreat facilitators travelling with Free Spirit Authentic Travel. Each individual is solely responsible for obtaining their own appropriate insurance prior to departure. Your insurance must cover as a minimum: • Trip cancellation and curtailment • Medical emergencies and evacuation • Personal liability • Baggage loss or delay • Force majeure and travel disruption Retreat Facilitators: All retreat leaders and wellness facilitators hosting programs through Free Spirit Authentic Travel must additionally hold current professional indemnity and public liability insurance for the duration of their program. Proof of insurance may be requested. Disclaimer: Free Spirit Authentic Travel accepts no responsibility or liability for any loss, injury, illness, damage, or expense sustained by any guest or facilitator during or in connection with any journey or retreat. All liability rests with the individual traveller or facilitator and their respective insurance policies. Free Spirit Authentic Travel accepts no liability for losses that would have been covered by appropriate travel insurance.
